To make this easier for you, we have listed a few things for you below and we advise you to take a look in our VIDEO LIBRARY and use the PORTAL.

We want you to be comfortable and satisfied with your business premises and our service. Please also read the information below, we have listed the most important things and that may save you some questions.

All about the maintenance

For matters relating to maintenance, it is best to log in to the PORTAL at the top right of our site, the codes for this can be found in the welcome email or you can request them by email or when logging in, under the password. Although mainly made for residential tenants, you may find something in our VIDEO LIBRARY on this website with many useful tips. We never rent out a restaurant with a complete kitchen, for example, but in the event of a blockage it can be useful to know what to do, although that is often the lack of a grease trap and you probably already have a contract with a drain unblocker. In the PORTAL you can also find the status of your report and, for example, which contractor will arrange this for you. On the website of www.ROZ.nl you can find the general terms and conditions of your rental agreement, which state which matters are for your account and which are for the account of the landlord, make sure you have the correct general terms and conditions.

Often agreements are also made about this in the rental agreement itself, logging in to the PORTAL to look up your rental agreement is often the most convenient way. In a shop and a catering space, everything inside and the facade (windows and paintwork) is usually for the account of the tenant. This is also because tenants like to arrange the interior themselves and have their own house style. In the case of an office, the rules are often different than in the case of a shop or catering space, where the spaces are usually rented as a shell. As a rule, most matters such as maintenance inside, except for finishing such as floors and walls, are the responsibility of the landlord, but here too, something else can be contractually agreed.

For everything, we can only help you if you inform us in time, preferably via the PORTAL. Do not expect us to know, even though it is our policy to visit the real estate that we manage annually. In the event of a malfunction or maintenance issues, we may first want to come and have a look ourselves to see exactly what needs to be done. This prevents us from sending the wrong people or the wrong equipment to you or incurring unnecessary costs.

In addition, as mentioned, we like to regularly visit our tenants to see how they and the property are doing, we can then combine that well. It is often also useful if you share as much information as possible with us, preferably with video or photos via the PORTAL. Then you can also see for yourself what you have shared and what the progress is.

Administration

Here too, the PORTAL provides a lot of clarity. You can look up whether and what needs to be paid, what communication there has been, such as (VAT) invoices and rent increases. Often also your rental contract in PDF with the attachments and other correspondence. For many things you do not need to contact us, we ensure that it is ready for you and that you can access it 24/7.

As a rule, we send rent increases, (VAT) invoices, maintenance announcements, etc. by e-mail. Always check your spam filter if you have not received something and then also report to your provider that the sender is safe to prevent this from happening again.

Your responsibility

We update our bank statements daily, but there is a delay, we cannot update our bank in real time unfortunately. Let us be clear, there are no other agreements with us than rent in advance as it is also regulated by law, no exceptions are made to this. This means that you always pay the rent before or on the first day of the month (or sometimes quarter) for the coming period. Settlements with maintenance, deposits and the like are not permitted by law and contract. Not receiving invoices or reminders is also no reason not to pay. Legally, the rent is a debt to be paid and not a collection obligation, which means that you must keep an eye on whether you have paid. Unfortunately, a direct debit authorisation or periodic transfer is also no guarantee that the rent has been paid, always check this and save yourself extra costs.

Our agreement

Always keep the rental agreement carefully, we do that too of course. It contains many important agreements and it can also serve as a guideline for many questions that you may have in the relationship between tenants and landlords. For drawing up rental agreements, we at MPVB use the model of the Council of Real Estate, an advisory body in which both tenant and landlord organisations participate. These agreements have been tested against the legal provisions and in many cases supplemented with special provisions from our office. On www.roz.nl you can find all these models but of course also in the PORTAL and a standard model as we now use on this page, which can however differ from your model, that depends on when it was drawn up and also by whom. Often you were already a tenant before we came into the picture and then that rental agreement simply remains valid.

Rules 

In our library you will also find our standard house rules, much of which is about taking each other into account. Rules of peace, cleanliness and regularity, logical rules where you also make it pleasant for each other as users. We understand very well that doing business quietly is not always possible, but explain that to your neighbours before you start. Many of our houses are apartment rights, part of an Owners' Association. If all goes well, you will have received a copy of the house rules of this Owners' Association when you entered into the lease, but if not, you can always look in the PORTAL or send a message via the PORTAL and we will request it for you immediately.

In the event of any proposed changes to these regulations, we always try to think in the interests of our tenants, but the common interest of all users is of course paramount. However, the house rules are regularly drawn up before we come into the picture.

If you experience (serious) nuisance from, or cause nuisance to, your neighbours, never hesitate to report this to us. But always talk to your neighbours first, people sometimes don't know that they are bothering you or have a different standard, it is something subjective. If you then immediately get angry or file a complaint with us or the police, it escalates and you make it very difficult to accept anything from each other. Besides, a good neighbour is better than a distant friend, isn't it? With catering entrepreneurs we sometimes see things go wrong because they do not or hardly seek contact with their neighbours, do that differently. Invite them to a Sunday afternoon drink or event, put a note in the door, give them a discount. It makes such a difference in tolerance when you do that and a clouded relationship is often difficult to restore. We are even legally obliged, if it is within our reach, to take action against nuisance and we do not find it a problem if someone reports it, we think it is important that you all live or do business pleasantly. If we receive complaints about nuisance, we will always first consult with them. After all, we live in a city and that also requires a certain degree of tolerance. We always check whether the property is well insulated, we can ask for a sound measurement or a zero tolerance policy against smokers on the terrace.

Strict to Fair

Fortunately, it does not happen often, but it can be necessary and sound insulation is at the tenant's expense and risk. Subletting is never permitted with us. Unless expressly agreed otherwise with you in writing, but that only happens in special circumstances and that is precisely why we record it properly. Therefore, always ask for written permission, even if it is for a short period. If we nevertheless find that you are subletting without permission, we will request termination of the rental agreement at the Court and recover all damages (including excessive rent) from you. Now it does not happen very often that a shop or catering establishment is actually terminated, often tenants themselves find a party that wants to take over their business. But it does happen and then we can inform you in time, when you register. Then you will receive a message from us when something becomes available within your criteria.
